This Privacy Policy describes how LobbyPilot ("LobbyPilot," "we," "us," or "our") collects, uses, and shares information in connection with our websites, including lobbypilot.com, and our AI voice receptionist platform and related services (collectively, the "Services"). By using the Services, you agree to the practices described in this Policy.
1. Who we are and how this Policy applies
LobbyPilot provides an AI-powered voice answering and call-handling platform to business customers ("Customers"), typically home-service businesses and multi-location operators. This Policy applies to (a) visitors to our websites, (b) representatives of our Customers and prospective customers, and (c) individuals who call phone numbers handled by the Services on behalf of our Customers ("Callers").
When we process Caller information on behalf of a Customer, we act as a service provider/processor, and the Customer is the controller of that data. Callers should direct privacy requests about their interactions to the business they called; we will assist our Customers in responding to such requests.
2. Information we collect
- Information you provide. Contact details submitted through our forms (name, business email, phone number, company, industry, message), account and onboarding information, billing details, and support communications.
- Call data. When the Services handle a call, we may collect the caller's phone number, audio of the call, transcripts, summaries, voicemails, appointment and service details provided during the call, and routing metadata (time, duration, outcome).
- Configuration data. Business information our Customers provide to configure the Services, such as services offered, pricing, hours, service areas, calendars, and escalation contacts.
- Automatically collected data. Device and usage information about our websites and dashboards, such as IP address, browser type, pages viewed, and approximate location, collected via cookies and similar technologies.
3. Call recording and AI processing
Calls handled by the Services may be recorded, transcribed, and processed using artificial intelligence and third-party speech and language providers in order to answer the call, detect urgency, book appointments, generate summaries, and improve service quality. Our Customers are responsible for providing any notices and obtaining any consents required by applicable call-recording and wiretap laws in their jurisdictions, and the Services can be configured to play a disclosure at the start of calls.
4. How we use information
- To provide, operate, secure, and support the Services, including answering and routing calls, booking appointments, and delivering call summaries to our Customers;
- To respond to inquiries, provide sales and onboarding assistance, and manage accounts and billing;
- To monitor, troubleshoot, and improve the Services, including improving the accuracy and safety of our AI systems;
- To send service communications and, where permitted, marketing communications you can opt out of at any time;
- To comply with legal obligations and enforce our agreements; and
- To detect, prevent, and address fraud, abuse, and security incidents.
5. How we share information
We do not sell personal information. We share information only with: (a) service providers and subprocessors who help us operate the Services (such as cloud hosting, telephony carriers, speech-to-text and AI model providers, scheduling and CRM platforms our Customers connect, analytics, and payment processors), under contractual confidentiality obligations; (b) our Customers, who receive the call data generated on their behalf; (c) parties to a corporate transaction such as a merger or acquisition; and (d) authorities where required by law or to protect rights, safety, and property.
6. Integrations
Customers may connect third-party platforms (for example, ServiceTitan, Housecall Pro, Jobber, Google Calendar, or GoHighLevel). Data shared with those platforms is governed by their own privacy policies, and the Customer controls which integrations are enabled.
7. Data retention
We retain personal information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Call recordings and transcripts are retained according to the Customer's configuration and our standard retention schedules, after which they are deleted or de-identified.
8. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest and role-based access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to opt out of marketing. To exercise these rights, contact us using the details below. If you are a Caller, we may refer your request to the Customer whose number you called. You may also have the right to lodge a complaint with your local data protection authority.
For residents of U.S. states with comprehensive privacy laws (such as California), we do not sell or share personal information for cross-context behavioral advertising. California residents may exercise their rights under the CCPA/CPRA by contacting us; we will not discriminate against you for doing so.
10. Cookies
Our websites use essential cookies and, with consent where required, analytics cookies to understand site usage. You can manage cookies through your browser settings.
11. Children
The Services are designed for businesses and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will delete it.
12. International transfers
We are based in the United States and may process information in the United States and other countries. Where required, we use appropriate safeguards for international transfers, such as standard contractual clauses.
13. Changes to this Policy
We may update this Policy from time to time. We will post the updated version on this page with a revised "Last updated" date, and where changes are material, we will provide additional notice.
